POSITIONS
Finance Portfolio
-
Assist the Vice President of Finance with reviewing funding applications from subsidiary clubs each semester to ensure they align with procedure guidelines.

Responsible for helping to coordinate meetings with subsidiary clubs to aid in any urgent matters.

Assisting the Vice President of Finance with reporting and tracking monthly revenues and expenses in balance sheets.
-
Assists with writing cheque requisitions and tracking the status of the cheques.

Assists with semester internal budgets and ensure there is financial transparency on transactions and allocations.

Maintain professionalism and represent the society positively during events and collaborations

Attend monthly full council meetings and those scheduled by the Vice President of Finance
Human Resources & Administration Portfolio
-
Support the Vice President of Human Resources & Administration in strengthening engagement, communication, and collaboration between the Odette Commerce Society and subsidiary clubs.

Assist in planning and executing Club Summit, including logistics, programming, and club outreach
-
Attend and assist in regular check-ins with subsidiary club executive teams to discuss goals, challenges, and opportunities.

Strong communication, organization, and relationship-building skills are required

Maintain professionalism and represent the society positively during events and collaborations

Attend monthly full council meetings and those scheduled by the Vice President of Human Resources & Administration
Marketing & Technology Portfolio

Assist with designing graphics and visual assets for OCS events, campaigns, and social media platforms.

Collaborate with the Vice President of Marketing & Technology in maintaining a consistent and professional brand identity across all marketing materials.

Understands digital creative platforms to compose quality creative assets through Canva.

Maintain professionalism and represent the society positively during events and collaborations

Attend monthly full council meetings and those scheduled by the Vice President of Marketing & Technology.
Corporate Relations Portfolio

Lead the creation and management of the monthly corporate newsletter, featuring exclusive sponsor content, career opportunities, event info, and industry insights.

Coordinate with the Director of Corporate Partnerships and the Director of Local Partnerships to:

Draft official sponsorship/donation requisition letters

Draft official partnership agreements
-
Submit marketing requests with corporate/local content
-
Submit invoice requisitions for monetary sponsorships
-
Maintain professionalism and represent the society positively during events and collaborations

Attend monthly full council meetings and those scheduled by the Vice President of Corporate Relations
Student Leadership Portfolio

Managing H.O.U.S.E events - organizing H.O.U.S.E Mentor participation, being actively involved in the planning process and being present at all H.O.U.S.E events

Expected to attend events, handle sign-in, and reward H.O.U.S.E. points to attendees
-
Organize monthly FAQs directed at first-year student resourcing, and arrange for media release via the OCS newsletter

Attending mandatory H.O.U.S.E Leader Training Sessions

Reach out to assigned mentees and create bonds to help support their transition into Odette

Maintain professionalism and represent the society positively during events and collaborations

Philanthropy Portfolio

Plan and oversee all aspects of the 5 Days initiative

Coordinate fundraising activities, schedules, and event timelines

Recruit, organize, and manage volunteers

Communicate with sponsors, vendors, and charitable organizations

Assist with budgeting and expense tracking

Collaborate with the marketing team to promote initiatives and increase engagement

Ensure all events follow university and organizational policies
-
Foster a positive, inclusive, and community-focused environment

Maintain professionalism and represent the society positively during events and collaborations

Attend monthly full council meetings and those scheduled by the Vice President of Philanthropy
Professional Development Portfolio

Assisting in the planning and execution of academic events such as panels, workshops, socials, Exclusive networking dinner, corporate crawl, case competitions etc.

Communicating with the marketing team to promote events via OCS social media to generate excitement for Odette students
-
Volunteering time to support events by helping with student sign-ins, emceeing if needed, and other additional responsibilities as needed

Managing venue and room bookings, ensuring that all equipment is adequate
-
Informing of catering logistic such as dietary restrictions and coordinating delivery for day of event
-
Communicate with vendors to gather details on availability, capacity, cost, payment methods, and deadlines
-
Requirement of being onsite during all events to oversee logistics and troubleshooting issues as they arise

Work closely with the finance team for payment and budgeting

Social Affairs Portfolio

Assist the Vice President of Social Affairs in planning, organizing, and executing social events

Communicate with the Partnership Manager for partnership opportunities that align with social activities (i.e., evening/night socials)

Assist with vendor communication, bookings, and obtaining quotes when needed
-
Help recruit and manage volunteers for events and week activities
-
Reach out to external vendors and internal university departments to obtain quotes and service information
-
Compare pricing, availability, and services to help secure cost-effective event options
-
Secure and confirm venue and room bookings for events and activities
-
Maintain professionalism and represent the society positively during events and collaborations
